Top 10 Tips for Workday Users

Explore our Tips and Tricks page for valuable insights and practical advice to enhance your Workday experience and streamline navigation.

1. Cancel or Delete Unsubmitted Tasks:

Use this only for tasks you initiate, not those assigned to you. The gear icon doesn't display a delete or cancel option for assigned tasks.
To cancel or delete an unsubmitted task you've initiated, open it from your Workday Inbox, click the gear icon in the upper right corner, select 'Cancel' or 'Delete,' and then click 'Submit' to finalize the action.

2. Open a Second Tab in Workday:

Opening links in a second tab can help you multitask effectively, such as viewing both your absence calendar and time entry side by side. Depending on your browser, here are a few shortcuts to do this:

  • Right-click on any actionable item (blue font) and choose "See in New Tab."
  • Hover over any actionable item (blue font) and click on the roller ball on your mouse.
  • Hover over any actionable item (blue font) and hold Ctrl while clicking.

3. Use Search Shortcuts:

Type a question mark in the search box and then press "Enter" on your keyboard.
You’ll see a list of search shortcuts you can use to narrow down your search results.

4. Efficient Field Selection:

Type the first two letters of each word of the field selection (e.g., "bo sp" for Boathouse Sports or "cr ex re" for create expense report) and press enter instead of scrolling or typing the full name. You'll either get a much shorter list, or it will populate the field with your selection. View some examples to spark your searches.

5. There's a Job Aid for That:

Most tasks and processes in Workday have an associated Job Aid to walk you through each step at a time. Take a look before you get overwhelmed trying to do something.

6. View and Manage Notifications:

Stay updated on pending approvals, messages, or system alerts by checking your notifications icon (bell icon). You can customize notification settings to receive alerts via email or within Workday.

7. Set Up Mobile Notifications:

Install the Workday mobile app and enable notifications to stay connected on the go. Receive alerts for approvals, updates, or messages directly on your mobile device.

8. Add Shortcuts to Your Menu:

You can add up to 10 tasks, reports, and external links to your shortcut menu for easy access.

  • Click the menu icon in the top-left corner.
  • Select "Shortcuts".
  • Click "+ Add Shortcuts" and search for tasks, reports, or external links.
  • Add your selection by clicking the plus sign (+)

9. Customize Your Language:

As an international company, Workday supports multiple languages. Choose a preferred language in your preferences.
Click your profile icon in the upper right corner, then go to 'My Account > Change Preferences.'

10. Use the "Related Actions" Menu:

The "Related Actions" menu in Workday can save you time by providing quick access to related tasks:

  • Hover over a worker's name, task, or object to reveal the "Related Actions" icon (a small rectangle with three dots).
  • Click the icon to see a list of related actions you can take without navigating away from your current page.

This feature helps streamline your workflow by allowing you to perform additional actions quickly and efficiently.
